Job Description

Job Purpose: To provide an efficient and comprehensive administration service to the Senior Executive Support Officer and Chief Executive’s office. To provide an excellent standard of customer care, promoting and demonstrating Tower Hamlets Homes’ mission, vision and core values.

Key Accountabilities:

1. To maintain a range of administrative processes and systems for the Senior Executive Support Officer and the Head of Governance and Communication. Ensure that administrative procedures are efficient, organised and user friendly.

2. Undertake work which assists the Senior Executive Support Officer in the effective support of Chief Executive’s office, assisting in related projects as and when required.

3. Handle enquiries and requests from Councillors, residents and the Mayor ensuring that the Senior Executive Support Officer is consulted with and informed.
4. Applying clear standards and expectations and to use autonomy to get the job done. Setting clear parameters and guidance from manager.

5. To be familiar with the departments’ IT systems, obtaining data and assisting with the work done by the team.

6. Carry out purchasing arrangements on behalf of the team, raising requisitions, processing delivery notes and filing/recording orders to ensure goods/services have been received and service provided in accordance with requests and in compliance with financial regulations

7. Understands the high reputational impact if meetings were not well-serviced, participants not properly informed or if efficient administrative support for the CE or Board members were not provided.

8. Assist with research and collate information from internal and external sources for the Senior Executive Support Officer, and compile spreadsheets and reports as required.

9. Ensure that all duties and responsibilities are performed in accordance with Tower Hamlets Homes core values including financial regulations, Value for Money, HR policies, and Health & Safety policies.

10. Operate and utilise information and communications technology as appropriate to the post’s areas of responsibility and to assist with the identification and development of new ICT applications with would improve the efficiency of the service.

11. Keep abreast of professional developments, legislative changes and best practice, attending continuing personal development courses as appropriate and applying updated knowledge to present work programmes and sharing information gathered on courses.

12. Undertake any other duties of a similar nature, within any team of the Section and at any location of THH offices which may arise from time to time and which are commensurate with the grade of the post and within the capabilities of the post-holder.

13. Occasional support and setting up of evening Board meetings which requires to work out of office hours.

14. Ability to deal with competing deadlines and to organise and re-prioritise work.

15. Carry out other reasonable ad hoc duties to support the Directorate which are commensurate with the expectation of the post as directed by the line manager or the Head of Service.

Education and Experience

Essential Criteria
• Degree or equivalent
• Good customer service

Desirable Criteria
• Social housing knowledge
• Experience in working is public sector housing environment

Knowledge Essential Criteria

• Ability to maintain records data information, research and compilation of statistics as required.

• Knowledge of the commitment to Equal Opportunities and the ability to implement both within the section and for service delivery.
